Submitting your Publication
Role of Publications Coordinators
- Publications Coordinators are responsible for ensuring that all publications data provided by researchers has been entered in Themis.
- Publications Coordinators are also required to keep a hard copy file of all publications with any associated verification and affiliation evidence.
Role of the researcher
- If researchers wish to enter information into Themis they can do so, following the Recording a publication in Themis procedure.
- However, researchers can only assign generic categories in Themis and will still need to forward hard copies of publications as outlined below.
- It is the responsibility of researchers to provide their publications to their Publications Coordinator.
Researchers are encouraged to submit publications as they are published throughout the year. However, they can choose to compile and then submit all publications at once, as long as the deadline of Friday 27 November 2009 is met.
Of course, any publications between the deadline and December 31, 2009 will be accepted but they must be submitted as soon as possible, in order to ensure that they can be included in the submissions for 2009.
Essential steps for the researcher
Step 1
Assemble all the publications that you have written and that have been published in 2009.
Step 2
Use the Classification Guidelines to determine which category your publication is in.
Step 3
Complete the appropriate Category Sheet for each publication.
For each publication, download the appropriate category sheet (proforma) according to your publication type:
A_Book Category Sheet
B_Chapter in Book Category Sheet
C_Journal Article Category Sheet
D_Major Reference Work Category Sheet
F_Conference Publication Category Sheet
G_Major/Minor Reports & Working Papers Category Sheet
I_Patents Category Sheet
Ji_Creative Published Works Category Sheet
Jii Creative Recorded Works Category Sheet
Jiii Creative Exhibited Works Category Sheet
M_Computer Software Category Sheet
N_Audio-Visual recordings Category Sheet
Step 4
For each publication, download any of the following information that you need to complete the Category forms.
- You must provide a signed Author Affiliation form if your name and your connection with The University of Melbourne is not clearly stated on the publication
- Complete at least one FOR code for each publication
- Complete at least one SEO code for each publication
Psychiatry Refereed Journals List *
- You may need to provide evidence of refereeing for C1 categories, where the journal or the publisher are not retrievable in Themis when entered as A1, B1, C1 or F1 categories.
- If the journal appears on the Psychiatry Refereed Journals List then you only need to submit a copy of the article, and not worry about refereeing evidence.
- If it is not listed, then please refer to the Resources for Establishing Peer review and other requirements on the Melbourne Research Office website.
Step 5
For each publication ensure that you have completed and attached the following:
- a Category (proforma) sheet, including FOR and SEO codes
- the required verification evidence for this category (detailed on the second page of each Category form)
- your contact details
Step 6
Send your publications to your Publications Coordinator by Friday 27 November 2009, or as soon as published.
